Personal Assistant - Ipswich office
An opportunity exists for an experienced personal assistant to commence a full time position with our firm. The successful candidate would work in our Ipswich Office.
We are looking for someone who is organised, has a strong attention to detail and has a positive attitude. You must possess a good work ethic and can work independently or as part of a team. Ideally, we are looking for someone with previous experience, however, will offer full training for the right candidate.
The following skills would be required:
- Solid knowledge of Microsoft Office Suite
- Developing knowledge of industry applications including Xero, FYI, CAS 360, Fusesign, ATO Portal, Supermate
- Excellent organisational and time management skills
- Excellent written and verbal communication skills
- Excellent interpersonal skills
Role and Responsibilities
- Answering and directing phone calls
- Scheduling of appointments
- Manage and update client files including new client set ups
- Collating and sending out Tax Return and Activity Statement packages either by post, digitally or contacting clients to collect
- Preparing Invoices
- Producing correspondence (either via our software and templates or from handwritten drafts)
- Recording incoming jobs
- Setting up jobs for clients coming in for appointments
- Loading client data files
- Handle and prioritise all outgoing or incoming correspondence (e-mail, letters, packages etc)
- Scanning into our Electronic Storage Software
- General office duties eg. Photocopying, Emailing, Delivering documents
- In general, following any instructions from an Accountant
Additional duties include but are not limited to
- Reception Coverage & assisting with their tasks as needed
- Taking & collecting mail from post office
- Banking
